The Ultimate Guide to Bulk Laptops for Schools and Organizations

Schools, non-profits, and businesses all have an ongoing need for laptops. Old or defective laptops need to be replaced, and keeping equipment up to date can greatly improve learning outcomes and employee productivity.

However, the cost of updating laptops is a major expense, so schools and other organizations need to explore every opportunity to cut these costs. Fortunately, bulk purchasing laptops can help any organization with tight budgets get the tech they need at an affordable price.

Refurbished laptops already offer significant savings compared to factory-new equivalents, and bulk purchases take these savings to the next level. Additionally, some organizations may be eligible for buyback or cooperative programs to help pay for some new laptops.

Navigating the world of refurbished laptops and making a smart bulk purchase can be challenging, so we’ve put together your ultimate guide to making a bulk laptop sale that makes sense for your organization.

Why Buying Bulk Refurbished Computers Makes Sense for Schools and Organizations

Bulk purchases are standard practice for many of the supplies schools and businesses need, but sometimes, laptops are overlooked as an opportunity for bulk purchases. So, let’s break down a few reasons why it makes sense for organizations to buy bulk laptops.

Volume Discounts

Schools need to equip students; businesses need to equip employees. Handling these purchases one at a time at retail prices can be a devastating mistake that significantly affects your bottom line.

Buying laptops individually can make sense in some situations, such as unexpected damage, but you’re leaving money on the table if you always buy tech this way. Instead, buying bulk and wholesale refurbished laptops allows you to equip students, employees, and faculty with the technology they need while cutting per-unit costs.

Refurbishers typically offer volume discounts at different tiers. The general rule is that the more you can buy at once, the better the per-unit price you’ll secure.

Simplified and Predictable Procurement Process

Buying in bulk streamlines the purchasing process for large organizations or institutions. Instead of spending time sporadically seeking out individual machines or lower volumes, you can create annual or quarterly IT procurement processes.

You won’t be left needing to make smaller purchases throughout the fiscal year and instead buy bulk laptops that meet your needs for the entire year. As a result, it will become easier to budget for updated laptops in your annual budgets, rather than having them be an often unforeseen expense that ends up eating into other areas.

Buyback and Other Funding Programs

There are several programs available for most organizations to further costs beyond volume discounts. A few of these programs to consider are:

• Buyback: A buyback program (IT Asset Disposition) is offered by the refurbisher and can go far in decreasing the dollar cost of procurement. You’ll sell your current tech to the refurbisher at the same time as your bulk purchase, which helps decrease the raw dollar amount you’ll have to pay. You’ll also sidestep the need to find a way to dispose of old technology safely.

• Cooperatives: Some industries have cooperatives that combine buying power to secure even better bulk rates on new tech. For example, Omnia Partners allows education institutions to team up to secure better rates, while BuyBoard offers similar benefits for government entities. We work with these cooperatives to help schools keep their tech current.

• Responsible Recycling (R2): Some refurbishers are R2 certified, which indicates they have eco-friendly and sustainable recycling processes in place. Some devices that are beyond repair may still be eligible for buyback via the R2 program. System Liquidation is R2 certified and can help you leverage broken tech when it’s time to buy replacements.

The Benefits of Bulk Refurbished Laptops for Organizations

We’ve touched on a few benefits of bulk refurbished laptops already, but it’s well worth diving deeper into why bulk refurbished computers are so valuable for schools, non-profits, and businesses. A few key benefits of opting for bulk refurbished machines are:

• Affordability: Even at the individual level, a refurbished laptop costs substantially less than a factory-new equivalent. These savings become even greater when you buy in bulk, as you’ll be getting per-unit discounts based on volume. Additionally, when you factor in buyback programs and cooperatives, you’ll be able to find substantial savings.

• Reduce e-waste: Organizations across all industries are striving to reduce their carbon footprint. Choosing refurbished tech rather than factory-new devices is a clear way to showcase your commitment to sustainability. On top of the immediate benefits, you’ll also be supporting a circular economy, helping promote responsible tech consumption.

• Reliable performance: Refurbished laptops have been individually inspected, tested, and repaired to return them to like-new condition, while new laptops are tested in batches. Your teams and students will have the performance they need without the defects that can harm productivity and learning experiences.

• Warranties: A common misconception about refurbished laptops is you’ll forego a warranty. In reality, reputable refurbishers like System Liquidation offer comprehensive warranties on every computer we sell — we stand behind our work. You’ll have peace of mind without the factory markup.

Tips for Making the Right Bulk Laptop Purchase

You’re ready to make a bulk laptop purchase, what do you do now? Let’s break down an overarching process to go from needing replacement laptops to making a bulk purchase that works for your organization.

1. Assess Your Specific Needs

You likely already have an idea of what you need, but take the time to drill down into the following factors to make sure you buy the right volumes of the right equipment:

• Types of laptops in terms of required specs, or models if you know them, such as the Dell Latitude, Lenovo ThinkPad, or HP Elitebook

• Amount of each type of laptop you’ll need

• The available budget for IT procurement

• The right time to make the purchase that makes sense for your budget

• Consider if it’s feasible to order more than you need to have replacements readily available

Gaining a comprehensive understanding of your needs before exploring available purchase options helps you eliminate laptops or refurbishers that don’t work for you.

2. Prioritize Trusted Brands

Now you’re ready to start comparing laptops and specs to hone in on the right choice for the needs of your employees or students. A good place to start is with brands you trust. Fortunately, refurbished laptops allow you to focus on the trusted brands you may already appreciate, like Dell, Lenovo, and HP, while still having budget-friendly options.

From there, it’s time to drill down into laptops that offer the specs you need. You’ll likely have a few different needs to consider when evaluating laptop models. For example, faculty will likely need more powerful laptops than students.

3. Explore Funding Programs

You might be eligible for specific programs or cooperatives that can help further reduce your costs on refurbished laptops, which we explored above.

Evaluate all available funding options that can reduce or offset your final price. Buyback programs can help you leverage existing tech to pay for their replacements, while cooperatives help certain industries secure better volume rates.

Additionally, keep in mind available programs that you might not be able to use now but can use in the future, such as a buyback program for tech you have already sent to recycling. With a little foresight, you can prepare for savings that you might not qualify for just yet.

Final Considerations When Purchasing Bulk Laptops

We’ve explored several reasons why bulk refurbished laptop purchases can be a great decision and how to approach these purchases. Let’s quickly break down a few additional considerations to keep in mind when you’re getting ready to make your purchase.

• Warranty and after-sales support: What warranty does your purchase include? When dealing with bulk sales, you need to understand what’s covered if anything goes wrong. Only buy from refurbishers that offer a warranty, and make sure you fully understand its terms.

• Configuring laptops: Do you have in-house staff ready to set up and configure the laptops? Some sellers may offer a configuration service, meaning you’ll receive machines with all the necessary software and platforms. From there, getting up and running with your new purchase is much easier.

• Delivery and setup: Delivery and setup at the individual level are almost non-issues, but at the scale of schools, districts, and businesses, they’re a major task. The right refurbisher will make delivery as seamless as possible and may even offer setup services or partner with a company that does to secure an ideal rate for your laptops.
